Your one-stop-shop for practically everything needed to run a successful chapter and host successful events in an effort to restore wildlife populations and mentor the conservationists of tomorrow.

Below are links to multiple resources you may need or want for your events. If there is something you need that you cannot find here, be sure to contact your Regional Biologist, Elsa Gallagher, and she will help you with whatever you need. Banquet Material

  • QF Banquet Media Template/PF Banquet Media Template - a standardized press release to download, edit to fit your event, and send to local media outlets (MS Word).
  • "Donated By" (QF)/"Donated By" (PF) - Page of edit-ready cut-out cards with the PF or QF logo and "Donated By:" to put on items donated by your faithful sponsors. A little recognition goes a long way! (8 cards/sheet - MS Word)
  • "Underwritten By" (Full Page - QF)/"Underwritten By" (Full Page - PF) - Full page, edit-ready sign with the PF or QF logo and "This item was underwritten by:" to put on the larger donations. (MS Word)
  • "Underwritten By" (1/4 Page - QF)/"Donated By" (1/4 Page - PF) - Edit-ready cut-out signs with the PF or QF logo and "This item was underwritten by:" to use when a full page sign is just too big. (MS Word)
  • Quail Cash - Printable, fake cash featuring QF's mascot as the figurehead to use in lieu of cash at your events. $5, $10, and $20 bills. (PDF)
  • Rooster Bucks: $5, $10, $20 - Printable banquet cash that you can customize to your chapter or specific event featuring multiple PF-related figureheads. (MS Word)
  • Liquor Liability Form - Download, fill out, and send with payment to the National Office well in advance of any event where alcohol will be served.
  • Banquet Management Spreadsheet - For the more tech-savvy chapters, this multi-tabbed spreadsheet has everything you need to track everyone who comes through your banquet doors, their membership info, their bid numbers, and even what items they purchased on the auctions. Be sure to familiarize yourself with it and make any necessary changes in its functionality well in advance of your event to prevent a long line at the door. However, once you've got it figured out, it will make your clerical work much, much more efficient. (MS Excel)
  • Banquet Membership Report Form - Tracks the number and types of members from your event. Download, fill out, and send to National with the rest of your paperwork. It's just that simple! (PDF)
  • Chapter Raffle Reporting Guide and Form - Guidelines for what raffles and winners need reported as required by the IRS and the associated forms to fill out for the big winners. (MS Excel)
  • Credit Card Transmittal Form - The reporting form to fill out and send to National to get credit for all those credit card charges at your event. This is NOT the receipt thingy you put in the little credit card slider machine. This is a one-page reporting form you send to National that totals what's on those receipt thingys. (PDF)
  • Fundraising Event Report Form - This is the form that tracks your revenues, expenses and profits from your fundraising events that you need to send to National following the event. (PDF)
  • Raffle Money Tracking Form - Put a copy of this form in the money bags for each raffle to help keep track of start-up money, ending money, charges, and profits. Feel free to edit it to your liking.(MS Word)
  • PF Tax-Exempt Letter, QF Tax-Exempt Letter - IRS Determination letters stating the organizations' federal tax-exempt, 501©(3) non-profit status. Potential donors may want a copy of this letter before donating, especially the larger corporations. (PDF)

Other Resources

  • Youth Hunt Waiver - Having a youth hunt? Be sure to have the attendees sign this to be sure you're covered by PF's insurance.
  • Firearms Event Insurance - Any event where there will be firearms will need to have this form filled out to have the event covered by PF's insurance.
  • Ringneck Membership Summary - Use to record Ringneck member information for new youth PF members at your events. (MS Excel)
  • Whistler Membership Summary - Use to record Whistler member information for new youth QF members at your events. (MS Excel)
  • Youth Program Report Form - Reporting each of your chapter's youth events is VERY IMPORTANT. National uses that information to report accomplishments, secure grants and other funding sources, and to tell YOUR story in magazines. Your chapter will receive one chance to win a gun for each youth event/activity it holds and reports using this form. Events must be held and reported between July 1, 2009 and June 31, 2010. Please mail this report form within 30 days of EACH youth event your chapter hosts or co-hosts. (MS Word)
  • Youth Merchandise Catalog - Merchandise specifically for youth courtesy of the No Child Left Indoors Initiative. (PDF)
